Important Dates and Information for CVC Exhibitors

 

CVC in Baltimore – April 9-12, 2010

 

Application due with Full Payment: December 9, 2009
To secure booth space in 2010, your application and full payment must be received by this deadline. Both space will not be assigned and confirmed without full payment.

 

Directory Description due: January 6, 2010
Description due for listing in the CVC final program. This deadline is the last day to submit a 75 word description of your company for the Final Program/Exhibitor Directory. Any description received after this date is not guaranteed to be included. Click here to enter your description online. Please Note: Companies must be fully paid in order to be listed in the final program.

 

Last day to cancel for Full Refund (minus processing fee): September 30, 2009
CVC Management must receive your request to cancel, in writing, postmarked, faxed or emailed, no later than this date for full refund, minus a $200 processing fee.

 

Last day to cancel with 50% refund (minus processing fee): November 25, 2009
CVC Management must receive your request to cancel, in writing, postmarked, faxed, or emailed, no later than this date for 50% refund, minus a $200 processing fee.

 

Attendee Bag Inserts: March 3, 2010*

Any company participating in Attendee Bag Inserts must have the full quantity received by our Duluth office by this date in order to be included in the attendee bags. (*Please note: Attendee Bag Insert participants include those companies exhibiting at all 3 CVC Conferences or have purchased participation through the Marketing Opportunities- Any inserts received that do not meet either of these requirements will not be included)

 

Badge List due: March 10, 2010
Company Badge Lists are due for those employees working in your booth. Companies are allotted 4 badges per 10x10 booth. If you are a multi-show exhibitor, your company receives 2 additional badges per show you exhibit at. (Example: if you have a 10x20 booth at CVC in Baltimore and are also contracted to exhibit at CVC in Kansas City, your company would receive an allotment of 10 badges to use at CVC Baltimore.)

Guest badges are for family/friends not connected to the veterinary industry in any way and are not allowed to work in your booth.

 

Certificate of Insurance due: March 9, 2010
As an exhibitor, you are required to carry workmen’s compensation and commercial general liability insurance including contractors, personal injury and blanket contractual liability insurance at limits of at least $1,000,000 per occurrence, $2,000,000 aggregate. These coverages must be evidenced by a Certificate of Insurance with a 30-day notice of cancellation provision to the holder and supplied to and naming Advanstar Communications, Inc. as an additional insured at least 30 days before the exhibit date. FREEMAN Discount Deadline: March 26, 2010
In order to receive a discount on services/booth supplies ordered through FREEMAN, our show decorator, all orders must be received by this date.

 

Exhibitor Set-up: April 9, 2010

Exhibitor Set-up and Registration

Set-up takes place from 8 a.m to 5 p.m. This is the only setup day.

 

Exhibitor Move Out: April 12, 2010

Teardown begins after 2 p.m. Dismantling of any materials prior to announcement of show closing can result in forfeiture of exhibit space and the revocation of your invitation to exhibit at CVC in Baltimore for one year.
